How to request a RingCentral & Office365 account?
** If you wish to create a RingCentral account you will need an ACTIVE Office365 account**
Figure 1 shows an example placement that is requesting a RingCentral & Office365 account. This process will be the same when you are requesting an Office365 account only.

How to remove a RingCentral & Office365 account.
** If you wish to remove an active RingCentral account you MUST remove the active Office365 account**
Figure 2 shows an example of how to remove both accounts. At the end of every placement, the RingCentral account will automatically be removed no matter if the consultant keeps the current email address. This process will be similar when you remove the Office365 account only.

Requesting to keep the same email from the current placement to the next placement.
It is now possible to keep your consultant's current Office365 account for the next placement. In order to do this you will need to submit a change request in order to have it reflected on the new placement. Figure 3 & Figure 4 will show what options you will have on the change request and what will the new placement look like, lastly what indicator on the placement will show it as "Kept". Figure 5 will show what a new placement will look like when the change request is approved.

Can I request a RingCentral on the new placement after being marked as kept?
You are able to request a RingCentral account on the new placement, even though the field is marked as "Same as previous placement" you can still request a RingCentral account to be created. Figure 6 will show you what it will look like when requesting.

If my consultant has two placements but did not start the second placement. Can I mark it as kept and submit a change request later?
If you created a placement while the current placement is active, you can select the option to keep the current email. You must submit a change request before the old placement end date or the system will automatically remove your consultant email account.
How to remove a RingCentral and Office365 account from a placement that opted to keep an active email?
Because you opted in to create a RingCentral account on a placement that is using the same email address from the previous placement. You will need to submit a change request, in the change request you will need to select the remove option for Contractor Email Address and Ring Central Email address field. Once the change request has been approved both fields will be updated thus removing both accounts. Figure 7 will show you what a change request would look like with both of those options selected.

How to request a Microsoft Teams Account?
To request a Microsoft Teams account, the consultant must have an Active Office365 account. Figure 8 shows what it would look like if a consultant request both accounts to be created.

If my consultant already has a current Active Office365 account, am I able to request a Microsoft Teams account also?
Yes, you are able to request Microsoft Teams account if your consultant has an active Office365 account. In order to request for a Microsoft Teams account to be created you would need to submit a change request for the placement. In Figure 9 it shows what the outcome would be if you requested a Microsoft Account from a Change Request after the placement is approved.
Quick Note: The system will check if the related placement currently has an active Office365 account, if the related placement does not have an Office365 account you will be forced to create an account.
Can I remove a Microsoft Teams Account?
Yes, if you do not wish to keep your Office365 account or Microsoft Teams account the system will automatically remove both fields once the placement is completed with a valid close reason if you DO NOT submit a change request to keep both accounts to the next placement.
Can I request for the consultant to keep their Microsoft Team's account to the next placement?
Yes, in order to keep the Microsoft Team's account, you would need to submit a change request, remember when keeping the Microsoft Team's account, you would need to keep the Office365 account also. In Figure10 it will show you the perfect outcome when requesting to keep the Microsoft Team's account.

How can I confirm my consultant Office365 account and Microsoft Teams account will reflect on the next placement?
To confirm both accounts are indeed secured for the next placement, on the placement you will see Keep Microsoft Teams Account & Keep Contractor Email Address are both checked true. Reference Figure11 to see what a placement would look like after the Change Request is approved.

What will my new placement look like?
On the new placement you will notice Contractor Email Address & Microsoft Teams Access will automatically be updated. If you reference Figure12 it will show you want a new placement would look like if you requested to keep both Office accounts.

Quick Note: When requesting to Keep a Microsoft Teams account the system will automatically check the related to see if you currently have an Office 365 account, and it will force you to keep both accounts. You will see the error in Figure13 if you do not request an Office365 account while requesting to keep the Microsoft Teams account.

How to remove both accounts after finishing the second placement?
If you do not request an Office365 account and Microsoft Teams account on the next placement, would need to submit a change request to stop any future placements from being automatically updated. If you reference Figure14 it will give you a look at how the Change Request should be filled out in order to remove both accounts. There will be no indicator on the placement that confirms the consultant will no longer have an active Office365 account or Microsoft Teams account, but you can reference the Consultant contact to verify. In Figure15 it will show you what fields on the Contact will update after the Change Request is approved.
